Closing Procedures
Close in this order:
Make the deposits
Section titled “Make the deposits”If a register has more than about $350, deposit it down to $250. Always deposit bills larger than $20 (50s and 100s).
Remove the cash from each register
Section titled “Remove the cash from each register”- In Lightspeed, click Sales, then Payout / Drop.
- Enter the amount to be removed.
- Write Deposit in the note field.
- Remove that cash from the drawer.
Prepare the deposit envelope
Section titled “Prepare the deposit envelope”After you’ve collected the deposit cash from both registers:
- Put the cash in a letter envelope, along with a filled-out deposit slip.
- On the front of the envelope, write:
- Snapdoodle and your store’s name
- The date, below that
- The amount of money in the deposit, below that
- Seal the back of the envelope.
- Sign your name across the seal on the back.
- Place the envelope in the deposit drop box.
- If your store has a deposit sheet, fill it out with the amount.
Close each register
Section titled “Close each register”Make the deposits first, then close each register.
- In Lightspeed, click Sales, then Close Register.
- Count the bills and coins, and enter them in the Closing Count field.
- Make sure the Total field matches the Total Remaining field. A difference of a couple of cents is fine, since rounding happens now that pennies are being phased out.
- When the counts match, click Submit Counts.
- Print the receipt. Openers use it to know how much should be in the register.
If the counts don’t match, count again. If it’s still off, record by how much for the closing email.
Slack and the closing email
Section titled “Slack and the closing email”Post an update in your store’s store only channel. See Your store’s channel.
- What you accomplished.
- Any unfinished tasks, so the morning crew can continue them.
Also reply to any weborders, recount requests, or reticketing requests you’ve completed. See Fulfilling a Weborder, Recount Requests, and Price Change Reticketing.
The closing email
Section titled “The closing email”Each store also drafts a closing email. Send it to cherry@snapdoodletoys.com and CC your manager’s work email. It should include:
- The amount deposited from each register.
- Whether each register’s closing count was correct. If it wasn’t, how much it was off by.
- The total amount deposited.
- The list of weborder numbers (the Shopify numbers) from the day. See Fulfilling a Weborder.
Copy this template into a new email, then replace everything in {braces}:
Subject: {Store name} Closing Counts - {date}
Deposits- Register 1: ${amount}- Register 2: ${amount}- Total deposited: ${total}
Closing counts- Register 1: {correct / off by $X.XX}- Register 2: {correct / off by $X.XX}
Weborders- {Shopify number}, {Shopify number}, ...The store
Section titled “The store”Before you leave, look back through the daily Merchandising Checklist:
- Shelves are full. Check the stockroom for anything that isn’t on the floor.
- Aisles are clear.
- Play tables are tidy, and demo toys are in working order with their parts.
- Signage is straight and clean.
- Register supplies are stocked: bags, ribbons, tape, and stickers.
Then check the holds and transfers:
- Holds: make sure every hold has its slip, and that paid holds have a sticky note with the date of the last call. See Holds.
- Transfers: make sure items to be sent are on your Transfer Shelf, with slips attached. See Sending items to another store.
